AI Is Already Being Used Inside Many South African Businesses — Often Without Formal Approval

Artificial intelligence tools are already being used inside many South African workplaces — often without formal approval, policies, or employee guidance.
Tools such as ChatGPT and Microsoft Copilot are increasingly being used by employees to draft emails, summarise information, analyse reports, and improve productivity.
However, according to College Africa Group, many organisations still do not have clear AI governance frameworks or workplace usage policies in place.
“Many businesses believe employees are not using AI yet,” says Arnold Muscat from College Africa Group.
“In reality, AI tools are often already being used informally inside the workplace without structured guidance or oversight.”
Growing Risks Around Informal AI Usage
The organisation says this creates growing risks around:
inaccurate information
confidentiality
data handling
compliance
business accountability
College Africa Group believes one of the biggest misconceptions is that AI systems automatically produce correct or reliable outputs.
“AI generates language — not the truth,” says Muscat.
“Employees still need to verify information, apply judgement, and remain accountable for business decisions.”
The Need For Responsible AI Governance
The company says businesses should avoid treating AI as an automated replacement for professional judgment.
Instead, organisations should focus on:
responsible AI usage
human verification
employee awareness
practical governance
POPIA-conscious workplace practices
According to College Africa Group, many employees are already experimenting with AI tools privately because the technology is easy to access and widely available online.
The concern is not necessarily that employees are using AI, but rather that businesses may not yet have:
formal AI policies
approval structures
acceptable usage guidelines
staff training in place
Preparing For An AI-Driven Workplace
College Africa Group says South African businesses should now start preparing for a workplace environment where AI usage becomes increasingly common across administration, HR, finance, reporting, communication, and management functions.
