How many urgent problems your team solves this week have already been solved before?

Every Monday morning, the Operations Manager opens Outlook.

Finance needs updated figures. Sales needs a revised report. A client is waiting for information. Someone is chasing an approval that should have been completed last week.

Everyone is busy. Everyone is responding.

But next Monday, many of those same problems will return.

When the same urgent work keeps coming back, the problem is usually not the employee. It is the process.

Stop Treating the Symptoms

When deadlines are repeatedly missed, businesses often respond by asking employees to:

Send reports earlier.

Follow up more frequently.

Double-check spreadsheets.

Copy more managers into emails.

Hold another meeting.

These actions may keep work moving, but they rarely address why the problem keeps occurring.

Consider a monthly management report. Information is exported, copied into Excel, checked, corrected, emailed, revised and redistributed.

The final report may look professional.

The process behind producing it may be wasting hours every month.

Before Automating, Ask Why

AI has created another tempting management response:

“Can we automate this?”

There is a better question:

“Why are we doing this in the first place?”

Before automating a workflow, determine:

Where does the work start?

Who touches it?

Where does it wait?

Where is information duplicated?

Which approvals genuinely add value?

Which tasks could disappear completely?

Automating an inefficient process can simply make unnecessary work happen faster.

Discover Where the Time Is Going

This is where AI Workflow Discovery becomes valuable.

The objective is not to find somewhere to use AI. It is to identify where the organisation is losing productive time.

Employees may be spending hours:

Searching for information.

Copying data between systems.

Reconciling spreadsheets.

Recreating reports.

Chasing approvals.

Rewriting similar communications.

Correcting avoidable errors.

Some problems need AI.

Some need a better process.

Others simply need better workplace skills.

Do Not Ignore the Tools You Already Own

An employee struggling with a monthly spreadsheet may not need AI. Better Advanced Microsoft Excel skills may solve the problem.

Teams chasing information through email may need better use of Outlook, Teams, Loop or Microsoft 365.

Only once the workflow and skills are understood should organisations determine where ChatGPT and Microsoft Copilot can genuinely improve productivity.

The executive question should therefore be:

Which part of this workflow becomes faster, simpler or more accurate by using AI?

That is a very different conversation from simply asking employees to “start using AI”.

AI Still Needs People

Speed does not guarantee accuracy.

An AI-generated report can look professional and still contain incorrect assumptions, figures or conclusions.

Employees and managers remain responsible for validating important outputs and decisions.

The Productivity Test

Executives do not need another complicated measurement.

Ask:

Did the report become easier to produce?

Did the approval cycle shorten?

Did employees stop duplicating information?

Did management receive better information sooner?

Did the customer receive a faster response?

Did the urgent problem stop coming back?

That last question matters.

Because introducing technology is not the same as improving a business.

One Question for Your Next Management Meeting

Look at the urgent issues occupying management this week and ask:

“Which of these problems have we dealt with before?”

Those recurring problems are where management should start looking.

Understand the process. Remove unnecessary work. Strengthen workplace skills. Then use Microsoft 365, ChatGPT and Microsoft Copilot where they create measurable value.

Do not use AI to make a bad process faster. Fix the process first.
