Local hosting, Microsoft 365 or Google Workspace - choosing business email in South Africa

Cape Town, 22 September 2026: As the Rand cost of international software subscriptions continues to move with the exchange rate, South African small businesses are being urged to look past brand names and ask a simpler question when choosing email: which features will the business actually use?

That is the central advice in an updated comparison of email hosting options published by EmailPros, a Gauteng-based business email service. The comparison weighs locally hosted email against Microsoft 365 and Google Workspace on cost, data location, support and fit for different kinds of businesses.

What the big suites cost in Rand

In September 2026, Microsoft 365 Business Basic and Google Workspace Business Starter each worked out at roughly R115 per user per month before VAT. Both are priced internationally, so the Rand amount changes with the exchange rate, and both are charged per user.

Per-user pricing looks modest on its own but multiplies quickly. For a business with three email addresses, either suite comes to about R4 100 a year before VAT, before the domain is bought and before anyone sets up the DNS records. By comparison, locally hosted email packages for three addresses can cost under R1 000 a year.

"Microsoft 365 and Google Workspace are excellent products, and for some teams they are the right answer," said Moses Lukhwareni, founder of EmailPros. When a full suite makes sense

The comparison is clear that the international suites earn their price in the right setting. Microsoft 365 includes Teams, OneDrive and large mailboxes, with desktop Word, Excel and PowerPoint on higher plans. Google Workspace suits teams that already collaborate in Google Docs and Sheets.

Local servers and POPIA

Where email is stored is becoming a more common question from clients, particularly for attorneys, accountants, medical practices and any business handling ID documents. The Protection of Personal Information Act (POPIA) applies to personal information in an inbox, such as client names, ID numbers and contracts.

POPIA does not ban storing email overseas, but it does set conditions on sending personal information outside South Africa. Choosing a provider with local servers, good security and regular backups makes it easier for a business to show it is taking reasonable steps. Microsoft offers South African data centres, while Google's small business plans do not allow customers to choose to keep data in South Africa.

Five questions to ask before choosing

• Will the team genuinely use online documents, video meetings and shared storage, or mainly email?
• Is the price in Rand, and what will the total be over a full year, including renewal?
• Where is the email stored, and is it backed up somewhere separate from the main server?
• Is spam and virus filtering included as standard rather than sold as an add-on?
• Who sets up the domain, DNS records and phones, and how is support reached when something breaks?

"Most owners read their email on a phone between jobs," Lukhwareni said. "Whatever they choose, they should know who to call when it stops working at eight in the morning, and what they will pay when it renews."
